Handling Your Responses

Does your admissions staff have a plan for when the cards start rolling in? Are you prepared for data entry, and more importantly, follow-up?

Use this copy of the check list below to keep you on-track in handling your responses.

  • Is your mailroom informed of incoming cards?
  • Is the pre-paid postage account paid at the post office?
  • Are data entry personnel trained?
  • Is a tracking system in place?
  • Is the scanning equipment ready?
  • Do the cards have a unique source code?
  • Are phone operators aware of how to record card deck phone inquiries?
  • Can Web page inquiries be tracked to the card deck?
  • Is a rolling follow-up procedure planned?
  • Is a response package designed and proofed?
  • Are all response materials printed or prepared for delivery?
  • Is a second follow-up package planned and prepared?
  • Is the admissions counseling staff trained on the uniqueness of card inquiries?
